Open on time. Open on budget.

The complete pre-opening framework for hotels and resorts:Critical path, budgeting, contracting, positioning, handover, and operational readiness, in one place.

The runway is getting shorter. Openings are more complex.

Pre-opening windows are compressing while the critical path is not.Pressure to open within six months is now the norm, and long-lead milestones require decisions made up to twelve months in advance.

Systems and Structures

Pre-opening budget, IT systems, FF&E and OSE selection, signage and brand alignment, F&B concepts, back of house, kitchen, HACCP design sign-off, and key recruitment are key milestones in this window. All are hard to reverse once committed. Who makes these decisions? A Director of Operations already covering a portfolio? A project manager who comes from construction? Or a specialist appointed for the period?

General Manager Onboarding

General Managers with pre-opening experience are scarce, and tend to stay where the packages are highest. Economy, midscale, and upscale openings often go to first-time General Managers with little or no opening experience. What was set in the first phase then decides how much of their short runway goes on finding their feet, and whether they open from a structure of strength or spend the first months building one.

Operational Readiness

Mass recruitment, OSE handover, systems training, punch list and handover all land in the same weeks. Once practical completion is signed off, licence and permit inspections, deep cleaning, systems go-live, operational training, trial stays and the brand, service and loyalty audits follow one after another, with the opening party at the end of it. Spend runs at its fastest, delays surface exactly when they can no longer be fixed.

Our Pre Opening Framework.

One framework, six key parts, from first milestone to opening day.Pre-set and ready to start, then shaped to your property: its brand, its market, its opening date.

Part one

Key Milestones and Critical Path

A pre-set plan from twelve months out to opening day, by month and department, with owners, priorities and progress against the milestones that gate everything else.

Part two

Budget and Actual Tracking

Templates for manning, IT, OSE and other expenses, then every commitment tracked against them — control of the spend before a finance system is installed.

Part three

Contract and Procurement Tracking

Every contract from first quote to purchase order, with the stage each one has reached, so nothing sits waiting on a decision nobody is chasing.

Part four

Positioning and Launch

The commercial structure: how the property is positioned, and the traditional and digital marketing plan behind the launch — prepared before the commercial team arrives.

Part five

Punch List and Handover Tracking

Defects and outstanding works recorded room by room and area by area, through to sign-off, so handover from the project team is clear and agreed on both sides.

Part six

Operational Readiness Audits

Readiness checked against the plan before opening day: licences and insurance, brand standards, and the departments that have to be ready first.

We understand openings, we have opened properties ourselves.

A hard hat, spirit level and rolled drawings on an unfinished floor

The framework was written by a General Manager who has opened three hotels and a resort, and led a full hotel refurbishment, for international brands in Thailand, Vietnam and the Philippines.

It is the result of that pre-opening experience: one integrated system, simple enough to follow, carrying the detail a first-time General Manager would otherwise learn the hard way. It is built for hotel and resort pre-openings, re-brandings and major refurbishments. For the Hotel Owner or General Manager opening their first property, it is the difference between improvising and executing on time and within budget.

The framework, as your team uses it.

The framework is not a document. It is a cloud-based tool your pre-opening team works in.Six key parts, pre-filled with our structures and ready for your team to build on. Add, remove and edit until it fits your property.

The Snapshot screen: days to opening, spend against budget and recruitment progress

Snapshot

Where the opening stands today: days to opening, committed spend against budget, recruitment against plan and the milestones due this month.

The Critical Path screen: tasks by month and department with owners and progress

Critical Path

The plan from twelve months out to opening day, by month and department, with an owner and a status against every line and the long-lead items flagged first.

The Budget screen: manning, IT, OSE and other expense templates

Budget

Manning, IT, OSE and other expenses, each on its own template, rolling up to one pre-opening budget you can hand to an owner without rebuilding it.

The Contract Tracking screen: each contract from quote to purchase order

Contract Tracking

Every contract from first quote to purchase order, with the stage it has reached and the value committed, so nothing waits on a decision nobody is chasing.

Your opening date is set. Your operational readiness plan should be too.

Tell us about your property and when you expect to open, and we’ll arrange a walkthrough of the framework.
